Setting up assistants

Under Configuration you define how your phone assistants work. Each has its own card showing name, status, and phone number.

Click New Assistant. Two pieces of information are enough to get started:

  • Name: This is what your assistant is called internally and to callers.
  • First message (first call): the first sentence callers will hear. Phrase it the way your team would answer the phone.

That’s it—your assistant is ready to go. In the following sections you can control its work in more detail.

How your assistant conducts conversations is defined in its instruction. To prevent you from accidentally breaking anything, there’s the AI assistant (marked with an “AI-powered” badge): Describe in your own words what should work differently, and it will adapt the instruction for you.

In the Knowledge Base you store what your assistant should know about your company: opening hours, services, prices, frequently asked questions. Remember: whatever is in here, it will tell callers. Only enter approved, correct, and current information.

Some requests need to go to a person. Under Call forwarding you define in which cases your assistant transfers the call to which number—for example, for urgent matters.

Your assistant can work with your calendar and offer appointments to callers. How to connect the calendar is explained under Calendar & appointment booking.

For fine-tuning beyond the standard settings, there’s the advanced configuration. You won’t need it at the beginning.
